Working with your files

Docu | base › More functions › Working with your files

Shows the simple ways to edit files, in this order: “Edit in browser” on every Office file (our Office in the browser, no installation), then “Open in Word” (or Excel, PowerPoint) for the Office on your computer, the add-in in Office and Outlook, and dragging in files and whole folders. The network drive is for advanced users only.

Step by step

  1. In the document list or the document, choose “Edit in browser”; the file opens in Docu, no installation needed.
  2. To use your own Office: choose “Open in Word” (or Excel, PowerPoint) and confirm opening in the browser; every save is a new version in Docu.
  3. Drag files or whole folders from File Explorer or Finder onto the “Documents” page.
  4. For advanced users: copy the address and password under “For advanced users” and connect Docu as a drive.

Edit in the browser (Office)

Docu | base › Document › Edit in the browser

Opens Word, Excel, PowerPoint and OpenDocument files directly in Docu – to edit or only to view, with each person’s name and colour in the document. Several people can edit at the same time; saving creates a new version without a flood of versions.

Step by step

  1. Open the document and choose “Edit in the browser” (or “View in the browser”); new files in a folder via “New → Word, Excel or PowerPoint document”.
  2. Work in the editor. The first save creates a version, automatic saves only overwrite the working copy; closing or “Save” creates the next version – only if something changed.
  3. At the top, “Back to folder”, “Versions” and “Save as copy”; “Close” saves and returns to the document.

Edit generated documents in Office

Next to PDF and Word for HR documents, contract amendments, approved references, and Finance and payroll cover letters.

Edit generated Word documents in the browser; the edited version is used for PDF output, signatures and delivery.

Step by step

  1. Select the person and complete the required fields as for a Word download.
  2. Choose “Edit in Office”. Further clicks open the same version. HR documents stay in the person’s protected dossier; Finance cover letters stay in the company Sales/Documents folder.
  3. Save your changes in the editor. The source shows the last change and a link to the editor.
  4. PDF output uses the current version. A signature request preserves that state as a new HR version.
  5. “Regenerate from data” asks for confirmation and creates a new version; earlier versions remain available.

Create a letter with letterhead

Docu | base › Folder › New › Letter (Word)

Create a Word letter template with the central letterhead’s header and footer and a recipient placeholder in the address window.

Step by step

  1. Open a folder with write permission and select “Letter (Word)” under “New”.
  2. Enter a name or use the suggested name, then create and open the document.
  3. Replace the recipient placeholder in the address window and write the letter in the Office editor.
