Documents

HR | base › People › Documents

Central document storage for everyone, with search and filters by category, company, department and status. HR uploads many documents at once (matched via employee number or name in the file name), requests documents, reviews uploads and sets visibility and read confirmation via bulk actions.

Step by step

  1. Open “Documents” in the menu.
  2. On the left, choose a category or search at the top by name, person or employee number and filter by company, department or status.
  3. Click a document to see the preview, visibility and versions; review documents uploaded by the person or reject them with a reason.
  4. HR: via “Upload”, drag in several files, choose the category and file them, e.g. all payslips for a month.
  5. HR: select several documents and set the category, visibility or “Request read confirmation” under “Bulk actions”.

Download documents together

HR | base › Documents

Downloads the selected readable documents as a ZIP, preserving the folders per person and file names.

Step by step

  1. Select documents and start the bulk download.
  2. If the size limit is exceeded, select fewer documents; if a download is running, wait for it to finish.

Create employment contract

HR | base › People › Contracts (or Employees › person › “Create contract”)

Creates an employment contract from the company’s templates (contract type, pay type, expenses, probation, workload) and exports it as PDF or Word. From the menu you choose the person from the employees; from the personnel file the person is already filled in. It is step 2 of 5 in the joining process.

Step by step

  1. Open “Contracts” in the menu or click “Create contract” in the personnel file.
  2. If needed, choose a person with “Take over person from employees”.
  3. Check or complete company, job title, start date, workload, contract type, pay and expenses.
  4. Choose the document language and click “Download PDF” or “Download Word”.
  5. Optionally “Fill in BVG form with contract details” or continue with “Continue to job description”.
  6. Under “Edit personnel file”, in “Position”, enter “Function / job title”; when a list is shown, choose the free-text option. The contract field is always editable and prefilled from the personnel file. Changes apply only to this contract; a blank field uses the personnel function. Preview, PDF and Word use the same value. Profile texts accept {funktion}, {funktionsbezeichnung}, {stellenbezeichnung} and {position}, including double braces or guillemets.

Create employment contract

HR | base › People › Contracts

Creates the employment contract with a live preview as PDF or Word. After “Record joiner and create checklist”, the new person’s contract opens directly if you may create contracts. If saving the additional PDF to the personnel file fails, the download remains available and shows a notice. Repeating the download for the same operation retries saving without duplicate entries. Direct access and person selection use the same defaults: address, date of birth and AHV number require read permission; salary and workload come from payroll data, otherwise salary comes from the last contract and workload from the personnel file. Switching removes the previous person’s data while retaining the company and template. Before PDF export, a confirmation lists missing required details. Drafts can still be exported; Word requires no confirmation. Without an assigned contract profile, CO defaults apply: overtime with at least a 25 % supplement or time off by agreement, at least four weeks of holiday or five for persons under 20, and one month of probation for indefinite contracts. Weekly working hours must be entered explicitly; saved working time models provide suggestions. Industry allowances and attachments require a profile. Filing the PDF preserves the profile and text used. Templates do not replace legal review.

Step by step

  1. Optionally choose the company; the person selection then only shows people of that company.
  2. Take over a person from the employees or enter everything by hand.
  3. Choose the wage type: hourly wages show holiday and public holiday pay, monthly wages the standard working time (not for LMV).
  4. Resolve the notes under “Still to check” and download the PDF or Word file.

Review and adapt the contract template

HR | base › Settings › Documents › Employment contract

Under Settings › Documents, manage your organisation’s employment contract profile, optionally by company or department: weekly hours and working-time defaults, holidays, overtime, expenses, probation, notice periods, regulations, attachments and text modules in four languages. Profiles inherit in this order. Without customisation, general CO defaults apply. A notice with no close button asks you to review your terms; customised and FLAG profiles show a discreet notice. This is not legal advice.

Step by step

  1. Select the whole organisation or a company and, if needed, a department.
  2. Review the terms and attachment versions. Empty rule fields inherit the defaults. Earlier versions and other assignments are preserved.
  3. Save the profile. The setup item “Review and adapt the contract template” completes when an assigned profile has been saved. If the terms still match the CO defaults, the detailed notice remains visible.
  4. Open “Open preview and export”, then select the department and contract date. Preview and export use the same generator and saved profile.

Contract types

HR settings › Contract types

Each company sets up its own contract types, such as executive management, management, employees, hourly wage or apprentices. Each type has standard conditions: probationary period, notice period, 13th monthly salary (by contract, under the staff regulations or none; optionally only after probation and pro rata), holidays, weekly hours, overtime (e.g. compensated by the salary for management), expense allowance, occupational pension, non-occupational accident and sickness insurance, a reference to the staff regulations and a custom clause. The employment contract is prefilled according to the selected type; every condition remains adjustable in each case and appears in the contract text. Edit, duplicate or deactivate contract types and their standard conditions.

Step by step

  1. Choose “Apply suggestions under the CO” or add a contract type.
  2. Set the name, category, wage type and conditions, then save.
  3. In the employment contract, choose the type and adjust deviations in each case.
  4. Choose “Edit” next to the adopted type in the setup report or checklist. Saving takes you back to where you started.

Contractual basis and regulation titles

HR settings › Contractual basis or personnel file › Contract

The contractual basis is maintained per company and optionally per category in four languages. Individual contract text overrides category, company and standard text. Regulations have a separate title for contracts and displays.

Step by step

  1. Choose the company and text language, enter text and save. Each line break creates a paragraph.
  2. Expand a category to enter an override. Empty text uses the default.
  3. In a contract, adjust the text or revert to the default.
  4. With no personal data, request an AI suggestion based on confirmed documents and selected collective agreements, edit it and replace or append to the text.
  5. When uploading regulations, review the title in the contract; edit it later under details.

Contract amendments

Contracts and amendments

Prepare an individual amendment or a series. Values take effect from the chosen date only after signature and your explicit confirmation to apply them.

Step by step

  1. Create contract amendment
  2. Calculate preview for each person
  3. Create and file in personnel records
  4. Send for signature
  5. Apply values from effective date

Employment categories

HR settings › Employment categories

Categories such as employees, management, executive management and apprentices hold the basic conditions: weekly hours, holidays, probation, notice period, 13th month salary and overtime. Each position belongs to a category and inherits these values. A company can deviate on single values, and the individual case can still be changed in the contract.

Step by step

  1. Open a category and enter the conditions, or insert the suggestion and adjust it.
  2. With several companies, choose a company under “Values for” and enter only the deviations.
  3. Under “Contract attachments”, tick uploaded regulations and save.

Expense types

HR settings › Expense types

The company creates its own expenses: per year, per month or per working day, also with a daily rate for overnight stays or a range. Assign to everyone or to specific departments, categories and positions. The preview shows what the amount turns into; the contract calculates the same way.

Step by step

  1. Choose “Add expense type” and enter name, unit and amount.
  2. Check in the preview what it means per day, month and year.
  3. Under “Applies to”, choose everyone or specific departments, categories or positions and save.

Regulations and insurance

HR settings › Regulations and insurance

Upload regulations as PDF or Word (staff, expenses, data protection, IT and others), with version and company. They can then be selected as contract attachments and are available when sending online. The CBA question can be changed here at any time. Insurance master data holds OASI, accident, daily sickness and pension per company with the split per category; payroll reads exactly from here.

Step by step

  1. Upload a file or choose “We don’t have one” or “Later”.
  2. On request, create AI suggestions and adopt, adjust or reject each one.
  3. In insurance, choose the premium split and policy per category and save.

Cover letters for HR documents

Documents › Contract, Personnel file › Amendment (workload, role, notice period, monthly salary, hourly salary, place of issue) / Reference / Leaving, Payroll › Salary certificates / Payslip

An optional cover letter, off by default, can be edited before generating employment contracts, amendments, final or interim references, confirmations of employment, salary certificates, payslips, leaving documents and other HR documents. Saved templates for the company, type and language take priority. The salary certificate batch uses shared text and inserts the salutation, address and year for each person.

Step by step

  1. Select the cover letter and edit the suggestion.
  2. Review the subject, salutation, text, closing and signature, then apply.
  3. PDF includes the letter and document. Word export for contracts, amendments and references downloads two files; payslips and the leaving page also offer the letter alone.

Reference letter

HR | base › People › Employees › person › “Reference letter”

Creates an interim reference, reference letter or employment confirmation with suggested ratings from the latest review and text suggestions. References go through draft, review and approval with versions; approved versions are filed as PDF or DOCX in the personnel documents.

Step by step

  1. In the personnel file, click “Reference letter”; start with “New reference” or open an existing one.
  2. Enter the reference type, language, salutation, dates, roles and tasks, and check the suggested ratings.
  3. Use “Apply text suggestions” to draft the performance, conduct and closing sections, then adjust them; “Save reference draft”. The draft can also be saved half-finished; the mandatory details are only required when submitting it for review.
  4. Use “PDF preview (draft)” to check the final layout once the required details are complete; the preview is marked “Draft” and is not filed.
  5. “Submit for review”, then “Content checked – approve”.
  6. Use “Export PDF and file” or “Export DOCX and file” to store the version in the personnel documents.
  7. The form guides you through the person and duties, assessment and wording, then completion and signatures. Employment confirmations skip assessment. Entries are retained between steps and drafts can be saved at any time. Missing duties are highlighted on opening.

Four-eyes principle and suggested grades in the reference

HR | base › People › Employees › Person › Employment reference

A reference can only be approved by someone other than the author of the latest revision (customer setting, on by default). The suggested grades come from the most recent review confirmed by both the person and their line manager; if there is none, the most recent unconfirmed review is used with a clear notice.

Step by step

  1. Save the draft reference and choose “Submit for review”.
  2. Another person with the reference permission opens the reference and chooses “Content checked – approve”.
  3. The administration switches the “Four-eyes principle for references” setting under “Reviews › Development settings”.
  4. “Submit for review” notifies other authorised reviewers within the data scope through the bell and, according to their settings, push/email. An approval task appears in “My tasks”. The last author is excluded.

Payroll documents

HR | base › People › Payroll documents

Provides payslips and salary certificates as PDFs in batches. Files are matched automatically via the employee number in the file name; once published, employees see them in the app and portal under “My documents”.

Step by step

  1. Open “Payroll documents” in the menu and, under “New batch”, choose the type (payslip or salary certificate) and month, then “Create batch”.
  2. In the batch, “Upload PDF files”: one file per person, employee number in the file name.
  3. Assign unrecognised files to a person with “Assign” or “Remove” them.
  4. Click “Publish”; the people receive a push notification.
  5. Check in the batch list how many people have read the documents.
