Setup
Guides for “Setup” in : step by step, with the place in the menu, the steps and the limits.
Setup
Setup
HR | base › Settings › Company settings › Setup
At the top, the setup checklist of all apps with progress and next step; below, the automatic check: it shows, based on the account data, what is still missing or contradictory before going live: company addresses, contract type of departments, job titles and job descriptions, role addresses, form links, LMV minimum wages, working time models and public holiday calendar, holiday entitlements, line managers, users and roles, email delivery and the status of two-factor sign-in. The check changes nothing.
Step by step
- Open Settings and choose the “Setup” section.
- In the checklist, open “Next step” per app or, under “Show all steps”, mark items as done, postpone or skip them.
- Bring back hidden checklists here or directly on the start page with “Show again”.
- In the automatic check, deal with “Missing” items first, then “To check”; “Fix” takes you straight to the item concerned, e.g. the department without a contract type.
Add your first employee with the short form
Setup checklist › Employees
From the setup checklist, first enter first name, last name, actual start date and employment percentage. Company, personnel number and other defaults stay prefilled; expand further details as needed.
Step by step
- Enter the actual start date, including for existing employees.
- Check contractual defaults under “Further details” and save the employee.
Your employee record for time tracking and absences
In every app: menu under your name › Set up your employee record (opens My account). Also My onboarding and company setup: your employee record is the first step; reminder in the HR checklist and for new starters.
After registration, people with permission to create employee records can link their account to their own employee record.
Step by step
- Time tracking, absences, payroll, the employee app, your manager role and approvals use your own employee record. Link your account to a record first.
- Open Register myself as an employee / link to my account.
- Choose a new record, review and edit the account details, company, today’s start date and 100% employment. Create and link the record.
- Alternatively choose an existing person: only unassigned people in the same tenant and permitted data scope appear. A matching normalised email is suggested first and preselected. Confirm the selection.
- After linking, My account shows confirmation and a direct link to the personnel record.
HR settings
HR | base › Settings › HR settings
All HR defaults appear in one wide list grouped by topic. Each row opens its existing settings page; a short note at the top links to company settings, My account and personnel records.
Step by step
- In the sidebar, under “Settings”, click “HR settings”.
- Choose the item you need, e.g. “Terminals and badges”.
- Open the person under “Employees”: their personnel file has the tabs “Settings” (the person’s details) and “Access and clocking” (app access, badge, PIN, clocking profile).
- Companies, users and roles, subscription and email sending apply to all apps.
- Set language, appearance and security in the menu next to your name.
Organisation: departments and job titles
HR | base › Settings › HR settings › Organisation
Shows the departments per company with contract type, management, number of people and job titles. Here you create and rename departments, change the contract type, set the management and maintain job titles as a list (male and female).
Step by step
- Open settings and choose “Organisation”.
- New department: enter name, company (or all) and contract type, then “Create department”.
- Expand a department to change name, company and contract type, set the management and add or remove job titles.
- Save each part.
Terms: LMV (national collective agreement)
HR | base › Settings › HR settings › Organisation
Choose “Construction (LMV)” if the national collective agreement (LMV) for the main construction trade applies in this department; the contract type determines the proposed contract terms and working time models.
Step by step
- Choose the LMV wage class only for people in the main construction trade.
- Leave it on “None” for everyone else.
Base role “No base role”
HR | base › Settings › Users and roles
With the base role “No base role”, an account only gets sign-in and the start page. All further rights come exclusively from the ticked roles, for example for document capture only or bookkeeping.
Step by step
- Open Users and roles and select the account or click “Create user”.
- Under “Base role”, choose the option “No base role (assigned roles only)”.
- Tick the required roles under “Other roles”.
- Save the roles or create the account; the detail view shows the effective rights.
Public holidays by company canton
Time tracking › Settings
New time models use the company canton with “According to company”. Without a canton or a verified list, AG is suggested. Differences in existing models show a link to editing.
Step by step
- Choose the company or explicitly select a holiday canton for the new model.
- Check the notices and adjust existing models yourself if needed.
Data import
HR | base › Settings › HR settings › Data import
Imports existing employees, team assignments and line managers, working time model assignments, holiday balances and opening time balances from CSV files. Each file is checked row by row and taken over as one batch completely or not at all; the batch can be undone within 24 hours.
Step by step
- Open Settings and choose the “Data import” section.
- Under “Templates”, download the template for the data type, fill it in with Excel and save it as CSV.
- Choose the data type, upload the file and check the column mapping.
- Choose “Save mapping and check” and correct the errors shown in the check preview in the file.
- Without errors, choose “Import … rows”; the result log shows what was created or changed.
- If necessary, choose “Undo” in the result log.
Import personnel and time data from payroll exports
Settings › Company settings › Data transfer by KMU base
Import notice periods, contract types and construction wage classes, badges, marital status, permits, account holders, insurance codes and withholding tax codes. Holidays, balances, working time models and teams have dedicated import targets.
Step by step
- Check mappings and the dry run. Unknown columns remain unresolved.
- Identify people by personnel number and surname as a second identifier.
- Migration announces new departments and positions; categories are matched by name.
- Existing companies are linked only by a unique exact name or UID match.
- The same personnel number can remain unchanged in several companies. Specify the company in the row or selection. Ambiguous numbers without a company remain open. Correction files, managers, children, leave and balances use the same company scope.
Check residence status and withholding tax
HR | base
Optionally enter nationality, residence status and validity when recording a new starter or in personal details. The personnel file shows residence status separately. With payroll access and internal payroll management, you also see the tax scale, canton and missing or questionable withholding tax details.
Step by step
- Open the personnel file and the Withholding tax block.
- With payroll entry permission, “Enter withholding tax” opens the relevant section of the payroll record.
Import additional personnel data and payroll history
Settings › Company settings › Data transfer by KMU base; personnel record › Personal details or payroll data and history
Place of origin, religious denomination, bank name, BIC, partner details, original leaving reason and multiple emergency contacts can be imported and edited in the personnel record. Insurance and LSE fields from the personnel export update the existing payroll model.
Step by step
- Check every column in the dry run. Religious denomination requires separate read and edit permissions. Map numbered emergency contacts or a JSON list. Map historical salary records by effective date and historical wage types by person, month and movement ID.
Import children and family allowances
Settings › Company settings › Data transfer by KMU base; personnel file › Payroll; Payroll › People › Children
A children file (hr.kinder) or child columns in a personnel file imports first name, surname, birth date, entitlement and education periods, amount per child, birth allowance, multiple birth and fund decision. Employee number and employee surname confirm the link. Decision amounts override tables. Child count and total allowance remain source data without creating children or payments.
Step by step
- Upload and review column mapping.
- Check periods and complete any missing education start.
- After owner approval, review and edit the children through the payroll personnel file.
- Reconcile totals against individual children and the fund decision.
Balances and history
Balance comparison
Each balance replaces the supplied account up to and including the reference date. Entries are retained and count from the following day. Remaining leave is separate from annual entitlement and carryover. Statutory overtime counts per calendar year without counting included partial weeks twice. Monthly overview, closing, exports and annual balance use the same weekly source.
Step by step
- Set the reference date for every row (explicit entry required)
- I explicitly confirm the earlier reference date. Later opening balances for this account will be superseded; closed months remain locked.
- Save new balance
Deletion periods
HR | base › Settings › HR settings › Deletion periods
Sets after how long clock-in photos, access logs and email logs are deleted, and from when a personnel file is suggested for deletion after the person has left. A daily background job applies the periods; personnel files are never deleted automatically.
Step by step
- Open Settings and choose the “Deletion periods” section.
- Enter the periods in days, months or years; empty fields use the default.
- Save.
- Under “Due for deletion”, check the file of a listed person and delete the person there with “Delete person”.
The next step starts with a conversation.
