Record new joiner

HR | base › People › Employees › “Record new joiner”

Creates a new person with personal details, position, employment type, workload, probation period, notice period and line manager. The joining checklist and deadlines are then created automatically; access and clocking can optionally be set up at the same time. The next unused numeric personnel number for the tenant is suggested and can be overwritten; concurrent assignments are protected. With time management permission, choose a working time model effective from entry; for LMV contracts, a suitable template is suggested as in the Access tab. Preparations with elapsed deadlines are marked “catch up” and due on the entry date or the later recording date. Clocking before entry or after departure is blocked on every channel; delayed submissions use the booking date.

Step by step

  1. Under Employees, click “Record new joiner”.
  2. Enter the person (salutation, first name, last name, email) and position (company, department, job title, cost centre).
  3. Enter the start date, employment type, workload, probation, notice period and line manager; “Management” selects the management checklist.
  4. Under “What applies?”, tick the items that control the checklist.
  5. Under “Access and clocking”, define app access, invitation and clocking channels.
  6. Click “Record joiner and create checklist”; the personnel file opens.
  7. For a future start date, the invitation on the start date is preselected. Until you choose a delivery option yourself, the default follows the start date; your choice is kept when the date changes.

Take over from application

HR | base › People › Employees › “Take over from application”

Takes an accepted application into the personnel file without entering the data again: master data and documents from the dossier come along, and the access can be invited right away or on the start date. “New entry” also points to a matching application.

Step by step

  1. In the “Employees” list, click “Take over from application”.
  2. Choose “Take over” for the application.
  3. Check company, department, function, start date and workload.
  4. Switch “Invite access” on or off and choose “immediately” or “on the start date”.
  5. Hire; “Go to personnel file” then opens the new person directly.

Import employees

HR | base › Personal › Employees › «Import employees» (also: Settings › HR settings › Data import)

Imports your existing employees from a list instead of adding them one by one. You find it directly in the «Employees» list (button «Import employees», with an empty list «Import from a list») and in the setup step «Add or import employees».

Step by step

  1. In the «Employees» list, click «Import employees»; you go to the data import.
  2. Under «Templates», download the template for the master data, fill it in in Excel and save it as CSV.
  3. Upload the file and check how the columns are matched.
  4. Choose «Save matching and check», fix any errors in the file and import with «Import … rows».
  5. To add just one person, choose «Record new joiner» instead.

Pre-boarding

HR | base › People › Preboarding

Before joining, new employees enter their personal details, AHV number, bank details, emergency contact and documents themselves via a personal link; HR reviews the details and adopts them into the personnel file. The employment contract can optionally be sent along for viewing.

Step by step

  1. Open “Preboarding” in the menu and, under “Start pre-boarding”, choose the person with a planned start date.
  2. Enter the private email address, link validity, first-day details and optionally the employment contract as a PDF, then “Send link”.
  3. Once the status shows “To review”, open the entry and check the details and documents.
  4. Choose “Reviewed – adopt into personnel file” or “Return for correction” with a note.
  5. If the link has expired, “Send new link” or “Revoke” the pre-boarding.
  6. To share without email, choose “Renew and copy link” in an open preboarding and confirm: the previous link becomes invalid. The new link is valid for 14 days. If copying is denied, manually copy the selected link in the field shown once; it disappears when closed.

Joining and leaving templates

HR | base › People › Joining and leaving templates

Maintains the checklist templates for joiners and leavers (standard and management) with sections, items, sub-items, conditions, responsibilities and dates relative to joining, leaving or notice. You also define which person receives new checklist items for each role.

Step by step

  1. Open “Joining and leaving templates” in the menu.
  2. Under “Responsible persons by role”, choose a person for each role and click “Save responsible persons”.
  3. In the template, adjust an item with “Edit” or add one with “Add item”: role, offset in days and, under “Only if”, a condition from the list (or “Always”).
  4. Enter subitems row by row with “Add row” (title, note, order) and add recipients under “Notify (standard)” or “Notify (management)”, as a role or a single email address, with “Add recipient”.
  5. Click “Save template”.
  6. If needed, download the “Blank template as PDF”.

Record termination and leaving

HR | base › People › Employees › person › “Record leaving”

Records the date notice was received, reason for leaving, leaving date and last working day, and creates the leaving checklist. The page pre-calculates the notice period and earliest leaving date under the CO (probation, years of service) or the contract/CLA and points out the protection period. After probation, employer termination shows all requested protection grounds. Approved illness, accident and military absences provide possible protected periods and suspensions with a possible next termination date. Please check the circumstances; the date does not change automatically.

Step by step

  1. In the personnel file, click “Record leaving”.
  2. Enter “Notice received on” and the “Reason for leaving”.
  3. Check the suggested “Leaving date” and enter the “Last working day” if needed.
  4. Click “Record leaving and create checklist”.
  5. The leaving date is preserved when notice receipt is changed or cleared. Use the separate button to accept a recalculated date. No “0th year” is shown before employment starts. Due and undated tasks appear under “Do now”; later and completed tasks are collapsed. Reference tasks link to preparation. Complete external work before ticking tasks off.
  6. In the exit checklist, items prepare what is needed: “Create termination confirmation” opens the letter with the exit date and notes on social insurance, “Prepare unemployment insurance details” the sheet for the employer’s certificate, “Return” the return receipt, “Block access” the person’s access, “Salary certificate and documents” the exit documents, and reference tasks the reference preparation. The generated PDF is filed in the employee record.

Revoke a leaving date and withdraw a start

HR | base › People › Employees › Person › “Revoke leaving date” or “Record leaving”

Resets a recorded leaving date, for example when notice is withdrawn by mutual agreement, or withdraws a planned start that will not take place. Open items on the relevant checklist lapse; completed items remain visible; the action appears in the history.

Step by step

  1. In the personnel file, choose “Revoke leaving date” (leaving date recorded) or open “Record leaving” (future start).
  2. Enter the reason.
  3. Choose “Revoke leaving date” or “Withdraw start” and confirm.
